Job Description / Responsibility
o Provide secretarial support to the Board of Directors and associated working and project committees, including agenda packages, minutes, meals and meeting arrangements
o Assist Directors with the development of budgets, grants applications, contracts, and contract amendments.
o Promptly receive incoming telephone calls, providing friendly and professional greeting, taking messages as appropriate, and eliciting necessary information to allow timely and accurate responses.
o Accounting including accounts receivable, accounts payable, billing and banking
o Check email and promptly distribute incoming email as appropriate; responding where appropriate.
o Provide accurate word-processing support by: composing and/or editing a variety of documents, and data entry. This includes correspondence, memoranda, form creation, contracts and proposals.
o Maintain office database on membership and other contacts in electronic format (Excel and/or Access, etc)
o Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
o Set up and maintain manual and digital filing systems; develop and maintain well-organized filing system that permits easy reference and rapid retrieval of information.
o Arrange travel, hotel, and car reservations for staff, and the Board as required.
o Other responsibilities assigned by the Director/Management

Educational Requirements
o Masters in any discipline with professional business qualification in relevant field.

Experience Requirements
3 to 5 year(s)
The applicants should have experience in the following area(s):
Office Manager, Personal Secretary
The applicants should have experience in the following business area(s):
Group of Companies, Manufacturing (FMCG), Multinational Companies

Additional Job Requirements
Age 28 to 35 year(s)
o Excellent calendar management skills, including the coordination of complex executive meetings
o Experience assisting management with the creation of PowerPoint presentations
o Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
o Experience scheduling travel arrangements for management
o Must have excellent interpersonal and communication skills.
o Strong analytical and problem solving skills and experience
