Job Description / Responsibility
Managing the office of the Chief Operating Officer (COO) - (maintaining all files, sending and receiving e-mails, timely placement of e-mail to the COO, maintaining important phone numbers, e-mail address and contact address of important related persons / organizations / institutions / business firms)
Maintain inter-departmental coordination with COO - (coordinate and maintain liaison with other departments, update the other department about various issues of the department).
Maintain meeting schedule of the COO and prepare minutes of the meeting and follow up the actions - (Prepare and maintain meeting schedule, distribute meeting notice containing agenda, contact the members to attend the meeting, organize venue of the meeting, taking note and preparation of minutes of the meeting, distribute the copy of minutes among the members and follow up the actions.)
Fixing appointment schedule both internal and external - (Fix and maintain the appointment schedule of COO with the external persons related to business.
Attend phone calls and answer the quarries - (Receive both internal and external phone calls, answer the quarries and collect important information for the COO).
Preparation of Departmental Circular, Memo, Notice etc. and circulation of the same - (Prepare circulars on various issues, inter-departmental memos, notice related to different topic and issues).
Drafting of Letters, Reports, Proposals etc.- (Drafting letter on different topics both internal and external, prepare report on various issues and prepare proposal related to business as and when assigned to do).
Air Tickets, hotel bookings and maintain itinerary as and when required – (Arrange Air Ticket in the event of COO’s travel both within the country and abroad, liaison with the Airline(s), arrange hotel booking with confirmation and maintain itinerary as and when required.)
Any other tasks as and when assigned time to time.
Educational Requirements
MBA (Marketing) / Masters in any discipline (English / O&A level background will get Preference)
Experience Requirements
3 to 5 year(s)
Additional Job Requirements
Good command in English.
Excellent interpersonal skill.
Must have to be computer literate.
